Passport Information

PLEASE NOTE

The Indian Passports are being printed in India and not in the Embassy. As such the entire process of issuing a fresh Passport can take up to three months from the date of receipt in the Embassy; if, for an applicant a clearance from original Passport issuing authority is necessitated for any reasons, then an additional duration of at least six weeks may be taken for processing. Hence applicants are requested to apply well in advance to avoid any travel or other inconvenience for them.

In accordance with the guidelines of International Civil Aviation Organization (ICAO) this Mission has started issuing machine readable printed passports. In accordance with the same guidelines most countries will not allow entry of persons with handwritten passports except when they possess emergency documents after 2014. Issuance of these passports takes two-three weeks of processing time. Members of the Indian Community are advised to apply well in advance for new passport to give the Embassy necessary processing time. All Indian passport holders are also advised to convert their passports to machine readable passports before the due date of 2014.

Applicants are advised not to send any kind of documents/applications for any kind of Consular service by post/courier to the Embassy as the same would not be entertained.

It may kindly be noted that the service provider will accept urgent (for business purposes)/emergency (in case of death or emergent medical reasons in the family) visa applications upon submission of necessary documentations only at their India Visa and Consular Service centre at The Hague between 0830 – 1200 hrs and the processed passport with visa can be collected between 1430 – 1630 hrs on all working days. During weekends and other scheduled holidays, emergency visas in case of death or emergent medical reasons in the family upon submission of necessary documentations would continue to be provided directly at the Embassy.

Application for New Passport

An application for a new passport can be made within one year before expiry of the old passport. For this purpose, duly filled in application form for an Indian passport (form No. 1)along with your expiring passport, four recent photographs showing full formal view (3.5 X 3.5 cms with light background), a copy of "Resident Permit in Netherlands" or the receipt for the renewal of the resident permit along with expired Resident Permit need to be submitted at the Consular Section of the Embassy during any of the working days between 10.00 to 12.00 hrs.

The normal duration taken for issue of new passport is about three months from the date of submission of duly filled in application form. Applicants can check about the status of their applications and find whether passports are ready for collection from our website. If a clearance from original passport issuing authority is necessitated for any reasons, then an additional duration of at least six weeks may be taken for processing.

New Passports in lieu of lost/damaged passports

PLEASE SUBMIT YOUR APPLICATION WITH THE FOLLOWING DOCUMENTS:

  • Duly filled in relevant application (Form No. 1) that can be downloaded from the website.
  • Original Police Report intimating about loss of passport.
  • "Resident Permit in Netherlands" or the receipt for the renewal of the resident permit  along with expired Resident Permit  or photocopy of Netherlands Visa
  • Four photographs showing full frontal view of 3.5 X 3.5 cms size with light background.
  • Clear Photocopy of previous (lost) passport.
  • Statement giving details of the date/place/circumstances of the loss of passport.
  • Copies of any document indicating the personal particulars and the nationality status of the applicant. (The originals also required to be shown to the Embassy).
  • It normally takes at least 2 months to complete the process before new passports in lieu of lost/damaged passports can be issued.
  • If a clearance from original passport issuing authority is necessitated for any reasons, then an additional duration of at least eight weeks may be taken for processing.
  • Applicants are required to personally come to the Embassy to apply for issue of a new passport in lieu of a lost/damaged passport.
  • It is important to furnish full, accurate and truthful information in the form. Misrepresentation of facts may result in denial of passport facilities. Applications received with incomplete details will not be processed.
  • Except for requirements relating to Police Report other things are common for applicants of damaged passports.

Passports for minors

Every child should have a separate passport. For child passport, it is necessary to submit photocopies of the child's birth certificate, passports of the parents and their Residential Permit; parent’s  marriage certificate; and four photographs (3.5 X 3.5 cm) of the child with duly filled in application form along with thumb impression of the minor. The application should be signed by parents.  The originals of these documents are also required to be presented before the Consular Officer at the time of submitting the application form. Form No.1 required for this purpose can be downloaded from the website. While, the status of the applications can be checked after eight weeks from the date of application.

Registration of Birth

All Indian nationals who are residents in Netherlands are required to register the birth of their children in the Embassy within six months from the date of birth. The applicants are required to submit the following documents for registration of birth of the children:

Photocopies of:

  • Their Resident permit in Netherlands
  • Birth certificate issued from the Gemeente in Netherlands
  • Marriage Certificate of parents

Note: All above original documents are also to be furnished at the time of applying and will be returned after checking.

Please Note:-   In both the above cases, Marriage certificate of the parents require to be duly apostilled or attested as the case may be, by CPV Division, MEA, Patiala House, New Delhi.

Emergency Certificate

An Emergency Certificate (one way travel document) which authorises an Indian national to enter India at notified airports (Delhi, Mumbai, Chennai), is issued to a citizen of India whose passport has been lost, stolen or damaged with the objective of ensuring their return to India. The final decision of issuing an Emergency Certificate is subject to a detailed examination by the Embassy to ascertain the Indian nationality of the applicant. The processing time taken varies from case to case and may take more time if for any reason clearance from concerned Indian authorities/original Passport issuing authority is necessitated towards ascertaining applicant’s Indian nationality.  The photocopy of lost/stolen/damaged passport along with Police Report in case of  lost/stolen and a declaration thereby giving details of the circumstances of lost/stolen (damaged) as the case may be should be submitted along with duly filled in application. Two Nos of 3.5 x 3.5 cms size of recent photograph showing full frontal view with light background should also be submitted.

Change of Name

For change of name or surname, consequent to marriage/divorce, please submit original marriage certificate or the original 'order' from the court pertaining to divorce along with photocopies besides husband's/wife's passport. The Marriage Certificate is required to be duly  Apostilled or attested as the case may  be, by the CPV Division, MEA, Patiala House, New Delhi.

In all other cases of change of name/surname in the passport, the change has first to be advertised in a daily newspaper, both in Netherlands and India (circulation in the area of your permanent and present residence). Original newspapers carrying said advertisements are required to be submitted. An affidavit sworn before the consular officer is also to be submitted along with application. The relevant service is provided after 30 days from the date of publication of advertisement in the newspaper. Form No.2 for this purpose can be downloaded from the website.

Change of Date of Birth

Applications for change in date of birth are not entertained unless accompanied by a Court Order issued by a Judicial Officer not below the rank of First Class Magistrate in India. Clarificatory orders/certificates of other authorities (who had issued the Date of Birth certificate presented to the original Passport Issuing Authority) conveying any amendment may be produced before the Embassy for consideration.

Miscellaneous Service/Attestation of Documents/Affidavits/Power of Attorney

The Embassy does not issue bachelorhood certificates.  However, if the applicant holds a bachelorhood or eligibility for marriage certificate issued by a court of law in India, attested by the Ministry of External Affairs, (Consular Division), Patiala House, New Delhi, Embassy can attest the seal of the Ministry. For personal affidavits/declarations/NOCs, the Embassy will merely attest the signature of the applicant while not assuming responsibility for its contents

Following documents in original along with photocopies are required to be submitted in such cases:

  • Miscellaneous Application Form duly completed IN ALL RESPECTS and signed (Form No.2)
  • Valid passport of the applicant.
  • Valid R/P of Netherlands.

Short Validity Passport/Emergency Certificate in lieu of lost passport in the Netherlands (Click for more details)

  • Indian Nationals who have lost their Indian Passports while on a visit to The Netherlands and need to return back to India can apply for Emergency certificate.
  • Indian Nationals who have lost their Indian Passports while on a visit to The Netherlands and need to proceed to a third country on official/business visit can apply for a Short Validity Passport on emergency basis.
  • Indian Nationals based/ordinarily residing in third countries who have lost their Indian Passports while on a visit to The Netherlands and need to proceed to that third country of their Residence can apply for a Short Validity Passport on emergency basis.

It may please be noted that any service will be granted only upon verifying the relevant documents and can take at least three working days and the actual time taken can vary on a case to case basis. The issuance can take more number of days if for any administrative reasons the details are to be verified from the original Passport issuing authority. The applications for these services will only be accepted and subsequently granted on working days of the Consular Section of this Embassy.
